Booking Terms & Conditions
A booking with Imperial Tours is taken as agreement with the terms and conditions listed herein.

1. JURISDICTION

Imperial Tours is the service mark of Travel in Style Limited, a travel agency registered in the Hong Kong SAR and licensed by the Travel Industry Authority of Hong Kong with License# 354021. This agreement is governed by the laws of Hong Kong. This shall be the exclusive venue for any legal action arising from this agreement. However, travelers are responsible for abiding by the laws and regulations of the People’s Republic of China, Hong Kong, or Macau SAR separately during any stay in those jurisdictions. Imperial Tours shall not be liable for any legal issues, fines, or penalties arising from failure to comply with local laws.

2. RESERVATION

  • A deposit amount of 10% is due at the time of booking. The remaining 90% of the tour price can be settled 60 days prior to tour departure. Please note that services are not guaranteed and no arrangements are made and until Imperial Tours receives a deposit.
  • With your final payment please send photocopies of your party’s passports so that we can complete bookings in China. Note that domestic flights, rail, and many touring sites are booked against passport numbers and names provided, and we would not be responsible for any situations that arise as a result of inaccurate information provided.
  • A valid passport and visa are the responsibility of the traveler. Please leave plenty of time for this process.
  • Imperial Tours may provide basic advice regarding visa applications and will assist with any necessary invitation letter and/or hotel confirmation letters upon payment, but as procedures vary geographically and may change without notice (subject to policy adjustments by visa application centers or Chinese authorities), the traveler should seek conclusive advice from their local visa center or Chinese consulate/embassy. Imperial Tours will not be held responsible for any failure on the traveler’s part to obtain a valid visa for travel to China.

3. CANCELLATION CHARGES

  • Should you decide to cancel your place on the tour between the time of deposit and 90 days prior to the tour, you will forfeit 2,350 HKD (approximately USD300) per person; between 90 and 60 days prior to departure, you will forfeit 10% of the tour price; between 60 and 30 days prior to departure, you will forfeit 25% of the tour price; and from 29 days or less, you will forfeit 100% of the tour price.  Accommodation cancellation terms may vary. Please refer to the invoice.
  • All notices of cancellation must be written to be effective.  The date of cancellation will be the date the written notice is received by Imperial Tours’ personnel.
  • Private tours are priced with respect to the number of travelers.  In the event of one or more cancellations from a private tour, the group as a whole is responsible for subsequent cancellation charges. These will vary according to the pre-departure notice period and the number of cancellations.

3. TRAVEL INSURANCE

The traveler undertakes to effect adequate travel insurance including provision for trip cancellation, delay, hospitalization and medical expenses, repatriation and loss of baggage.

All travelers must ensure they are medically and physically fit for travel and should provide Imperial Tours with details, in advance, of any physical, medical or other special needs that require accommodating, including dietary requirements or allergies. The agency will strive to accommodate these needs but cannot guarantee the availability of specific accessibility features at all locations.

4. CLAIMS AND REFUNDS

Except for verifiable extenuating circumstances refunds are not made for any missed tour services. For verifiable claims to be considered they must be received in writing within 30 days of the termination of the tour and be accompanied by supporting documentation. Any adjustment considered will be based on the actual cost of the services involved and not on a per diem basis. Adjustments will not be made for unused sightseeing trips or meals. Imperial Tours will not accept liability for any claims that are not received within 30 days of the termination of your tour.

5. LIMITS OF RESPONSIBILITY

Imperial Tours purchases transportation, hotel accommodation, restaurant services and other services from various independent suppliers that are not subject to its control. Imperial Tours cannot, therefore, be liable for any damage which may occur due to (1) any act or omission of such a supplier, or (2) defects in failures of any aircraft, vessel, automotive vehicle or other means of transportation that is not under its control. The transportation companies shall be exempt from all liability in respect of any detention, delay, loss, damage, sickness or injury however and by whomever caused. Imperial Tours shall not be liable to the clients for any loss or damage to any luggage or other injury or illness suffered by the client provided that Imperial Tours has exercised due care and attention. Imperial Tours assumes no liability or responsibility for damages or expense arising from or caused by weather conditions, acts of God, war, accident, or government restrictions. Imperial Tours reserves the right to adjust prices without notice to reflect fluctuation(s) in the Foreign Exchange markets. Imperial Tours also reserves the right to withdraw a tour or any part of it, to make such alterations in the itinerary as it deems necessary or desirable, to refuse to accept or to retain as a member of the tour any person at any time, and to pass on to tour members any expenditures or losses caused by delays or events beyond its control. The tour price does not include meals not specified in the itinerary, laundry, liquor, imported mineral water, excess baggage charges, usage of telephones, personal, health or baggage insurance, items of a personal nature and any items not specifically listed as included.

Advice provided by Imperial Tours and its experts on the purchase of antique, cultural and art objects in China is provided to the best of our ability, however neither Imperial Tours nor its experts guarantees the authenticity, value or exportability of objects purchased by guests and all purchases are at guest’s own risk. At the request of guests Imperial Tours may introduce specialized vendors of antique, cultural and art objects; however such introductions do not constitute a recommendation or endorsement of the goods and services supplied.

6. INCIDENTAL COSTS

In certain circumstances, for instance on Ultimate China private tours, Imperial Tours’ China Host pays for alcoholic beverages consumed during meals on behalf of travelers. This is to reduce unwanted delays. Travelers agree to reimburse Imperial Tours fully for these incidental expenses at the end of their tour. Imperial Tours does not charge for this service and travelers are asked to reimburse only what they were charged, as itemized on bills presented to travelers at the end of their tour. Please note that if these incidental charges are settled by credit card, a 3% surcharge will be added.

7. PHOTOGRAPHY ON TOUR

As part of our service on Ultimate China private tours, Imperial Tours’ China Hosts take photographs of guests. These are sent to guests after their tour is finished.  Imperial Tours reserves the right to take photographs during the tour, and also to use the resulting images to promote Imperial Tours services. By booking a tour with Imperial Tours, travelers agree to allow their images to be used in such photographs. Travelers who prefer that their images not be used are asked to identify themselves to the China Host at the beginning of the tour.
